1. Information we handle

Hiro Animation handles information you provide when making an enquiry or commissioning a project. This can include your name, email address, telephone number, business and billing details, project brief, product references, CAD files, correspondence and feedback. We may also receive invoice and transaction references, payment amounts and payment status from a payment provider.

Our website and hosting services may process technical information such as IP addresses, browser information, request times and error or security logs to operate and protect the website.

2. Project enquiries and payments

The website’s enquiry form prepares a message in your email application. Completing the form alone does not send it to us; we receive the information when you send the email. If you use “Copy brief”, the prepared message is copied to your device’s clipboard.

Card payments are completed on the payment provider’s website when a payment option is available. This website does not collect or store your full card number or card security code. The selected provider, including PayHere where used, handles payment details under its own privacy terms.

3. Why we use information

• To answer enquiries, prepare quotes and communicate about your project.
• To create, revise and deliver the agreed animation, models or renders.
• To manage invoices, payment enquiries, refunds and business records.
• To maintain website security, troubleshoot problems and meet applicable obligations.

Please provide only information needed for your project, and ensure you are permitted to share any personal information or third-party materials you send us.

4. Access and sharing

Relevant information may be accessed by studio team members and service providers supporting project production, email, hosting, file delivery, accounting or payment processing, as needed for those purposes. We do not sell personal information. We may disclose information where required by law or where necessary to address fraud, security incidents or a dispute.

Some service providers may process or store information outside Sri Lanka. Your use of a payment provider, social network, marketplace or external file-sharing service is also subject to that service’s own privacy terms.

Confidential project information is handled in accordance with any confidentiality agreement we have with you. Permission to display client work in our portfolio is addressed separately from the information needed to perform your project.

5. Cookies and website features

We have not added advertising trackers or audience analytics to this website. Hosting, security, studio sign-in and external payment services may use cookies or similar technologies needed for their functions. Links to YouTube, social profiles or payment providers take you to services with their own cookie practices. You can manage cookies in your browser; blocking necessary cookies may affect those functions.

6. Retention and security

We keep information for as long as reasonably needed to handle your enquiry, complete and support your project, maintain necessary business records, and meet applicable legal or dispute-resolution requirements. The period depends on the information and purpose; project files are not a permanent archive service.

We use reasonable access and security measures appropriate to the information we handle. No online transmission or storage method can be guaranteed completely secure. Please do not send passwords, payment security codes or unrelated sensitive personal information.

7. Your requests and policy updates

You can contact us to ask about your personal information or request access, correction or deletion. We may need to verify your identity and may retain records where required for legal, accounting or dispute purposes. We will explain any limits that apply to your request.

We may update this policy as our services change. The effective date at the top identifies the current version.
